### **1. Introduction**
12
For a successful project, there are some best practices to implement good project monitoring & control. Because monitoring and controlling activities check if there are deviations from the expected results of the project. Every project has a life cycle. During this life cycle, there are several phases called ‘process groups‘. Each of these process groups has a different and crucial objective, which helps to produce desired outcomes in a project. The project monitoring and controlling process group activities help to keep the project on track.
13
14
### **2. Purpose, Goals, and Objective**
15
The main purpose of monitoring and Control is,
16
- To manage project activities and practices for the betterment of the project
17
- To keep the project on track
18
- To check the Project Performance with respect to,
19
* Timelines
20
* Estimations (Estimated vs Actual)
21
* Project Quality
22
* Project Stability
23
- To Check Resource Performance with respect to,
24
* Timelines
25
* Estimations (Estimated vs Actual)
26
* Work Quality
27
* Work Quantity
28
* Potential
29
- To Gain Acceptance from the customer
30
31
### **3. Scope**
32
33
- Process of monitoring the status of the project and the product scope, and managing changes to the scope baseline
34
- Measuring project and product scope performance and managing scope baseline changes.
35
- Process of monitoring resources and performance.
36
37
### **4. Policies**
38
39
- Provide a common language for use by all our teams in the implementation of our projects.
40
- Boost the organization's continuous improvement approach, with particular regard to the management of performance and project results.
41
- Guide the Planning, Monitoring, and controlling practices of our projects and ensure that they meet the quality, learning and accountability challenges that sit at the very heart of our organizational procedures.
42
- Track down all the issues and action items that we come across throughout the life cycle of the project with a documented proced
43
44
### **5. Work Product**
45
A work product may begin as an analysis made during the development of a project, creating a type of proposal for the project that a company cannot deliver until the project has received approval. Companies use work products to provide information to current stakeholders and potential investors. Types of information available in a work product might include prototypes, presentations, recorded discussions, diagrams, and status reports. The organization can also use the work product as a source of information while the project progresses.

### **9. Process flow and Description**
91
92
1. **Initial Phase**
93
- **Project Monitoring & Control**
94
* Monitoring and control activities begin once the project plan is finalized.
95
* The Project Manager (PM) is responsible for monitoring and controlling the project.
96
- Release Planning
97
* After finalizing the project plan, the Business Analyst (BA) and PM prepare the release plan.
98
* Release plans are maintained in Jira.
99
- Task Creation & Allocation
100
* Based on the release plan, the PM creates development/technical tasks in Jira.
101
* The PM identifies tasks requiring:
102
* Unit Test Cases
103
* High-Level Design (HLD)
104
* Low-Level Design (LLD)
105
* Tasks are assigned to respective resources with:
106
* Estimated timelines
107
* Estimated effort (hours)
108
- Development Initiation
109
* The PM reviews the Unit Test Cases.
110
* Development work begins only after approval of Unit Test Cases by the PM.
111
112
113
2. **Mid Phase**
114
- **Monitoring & Follow-up**
115
* The PM and BA conduct periodic follow-ups to ensure alignment with the release plan.
116
* Any issues related to this are escalated to the PM
117
* Release
118
* Resources
119
* Project-level risks
120
* The PM is responsible for resolving such issues.
121
* All issues are logged and tracked in Jira.
122
- **Task Review & Stability**
123
* The PM or Team Lead reviews tasks to ensure:
124
* Work progress is aligned
125
* Stability is maintained
126
127
3. ** Release Management Framework**
128
- **Types of Releases**
129
- **Client Release**
130
* Client Release is created to share updates with the client team.
131
* It may include:
132
* Stories
133
* Improvements
134
* Change Requests (CR)
135
* Client Tasks
136
* A Client Task may also be part of a Dev Release if it involves development work and has a merge request.
137
* Every Client Release must be linked to one or more Dev Releases.
138
* **Dev Release**
139
* Dev Releases are used for CI/CD tracking and to manage incremental deliveries.
140
* Dev Releases are created based on Client Releases.
141
* One Client Release can have one or multiple Dev Releases, depending on how we plan to deliver features step by step.
142
* Dev Releases can include:
143
* Backend tasks
144
* Frontend tasks
145
* QA bugs
146
* UAT bugs
147
* Unit test bugs
148
* Tech support tasks
149
- **Linking & Approval Governance in Jira**
150
* Dev Releases must be linked to Client Releases using the “Related Work” option in Jira.
151
* Every Dev Release must be approved by QA.
152
* QA approval must be recorded in the Approvers section in Jira.
153
* Every Client Release must be approved by:
154
* QA
155
* PO / PM / Coordinator
156
* All related evidence and documentation must be properly maintained in Jira.
157
158
4. **Release Phase**
159
- **Pre-Release Activities**
160
* Developers will perform unit testing before giving the module for testing or managerial review
161
* The PM conducts:
162
* Task Review
163
* Code Review
164
* Milestone Review
165
* Review findings are recorded in Jira.
166
* Review tasks, if created, must be linked to the main task.
167
168
- **Status Verification**
169
* PM or Team Lead ensures task statuses are correctly updated in Jira
170
* An email is sent to QA with the required release details before QA testing.
171
172
- **Stage Deployment Process**
173
* The Development Team deploys completed features to the Stage environment.
174
* After deployment, Jira status must be updated to “Deployed on Stage.”
175
* QA Responsibilities:
176
* Test the stage deployment.
177
* Confirm whether it is ready for production.
178
179
- **Production Release Process**
180
* QA creates a Production Release using a naming format such as:
181
* 2026_DevRelease_V1.0
182
* 2026_DevRelease_V1.1
183
* The same release name/tag must be used in GitLab.
184
* QA will inform the client in Telegram (TG) with a release notes summary and mention the expected halt time. Release notes can be copied from Jira.
185
* After client approval, we proceed with the production release.
186
* The client will be informed once deployment is completed.
187
188
5. **Post-Release Phase**
189
- After Production Release
190
* The Coordinator / PO / PM will:
191
* Inform the client which features from the Client Release are now live.
192
* Perform final verification/testing of released features.
193
- Client Feedback Handling
194
* After release:
195
* **If Approved:**
196
* BA records approval status in Jira.
197
* **If Findings Are Provided:**
198
* BA and PM review findings for:
199
* Client-reported bugs
200
* New feature requests
201
- **Client Bug Handling**
202
* Client bugs are logged in Jira by the BA.
203
* Bugs are linked to the respective task.
204
* Developers resolve the bugs.
205
* QA tests to ensure a bug-free module.
206
* BA delivers the updated module to the client.
207
- **Change Request (CR) Handling**
208
* If findings include new requests:
209
* BA raises CR forms as per the RDM process.

314
- GOOD and BAD metrics will be given to MOM and Action items,
315
* If Action Item Compliance = 100% = `GOOD`
316
* If Action Item Compliance not equal to 100% = `BAD`
317
318
### **11. Verification and Validation**
319
320
- Periodic reviews of the process and work will be done by BA and Manager.
321
- A Periodic project review will be done by a manager which will contain,
322
* Task Review
323
* Code Review
324
* Issue Logs
325
* Milestone Review
326
- All managerial tasks and required information will be maintained in jira.
